eGrant Reporting

eGrant Reporting Standard

The following table provides a detailed description of the types of information that comprise the Foundation Center’s eGrant reporting standard. The standard defines the optimal information that your organization can provide when submitting grant information electronically to the Center. You only need to include the data you have available in your own grants management system. Data can also be generated automatically if you use the grants management software of one of our eight eGrant Reporting Partners.

If you are not currently using grants management software supported by one of our partners, you can download an Excel version of the eGrant Reporting template for your use. Please send your excel-based electronic grants list to egrants@foundationcenter.org. The formatting specifications for our new hGrant format, which allows recently-published grants information to be pulled directly from foundation web sites or feeds, are also available for download. The data can then be made available to the general public through an RSS feed or API. For more information about hGrant, email hgrant@foundationcenter.org.

eGrant Report Column Sequence Field Name Description
A *Grantee organization name Full legal name of grantee as registered with IRS or international equivalent.
B Unique grant number Unique grant number used by the grantmaker to identify the grant (to be used for reconciliation purpose only).
C Grantee unit Subdivision or department of grantee to which grant is awarded.
D Grantee street address Primary street address.
E *Grantee city City, or international equivalent, of grantee.
F *Grantee state Two letter abbreviation for U.S. grantee state or full text for comparable administrative division (state, province, territory, etc.) of international grantee to assist in accurate mapping.
G Grantee zip or international mailing code Five or nine-digit zip code or international alpha-numeric mailing code.
H *Grantee country To be used only for grantees outside the U.S.
I Grantee Employer Identification Number (EIN) Nine-digit number assigned to each U.S. grantee by the IRS or international ID number equivalent.
J Grant description Summarizes the specific purpose or objective of the grant. For example: Designated for Special Data Projects.
K *Authorized grant amount Full amount of authorized grant in U.S. dollars at time of initial authorization.
L *Grant authorization year Please note the fiscal year (FY) end date for the FY in which the grant was authorized. Please format as mm/dd/yy or Month, Day, Year.
M Duration in years (use field M or N, not both) Duration of funding at time of authorization, expressed in years. Not required if funding is expressed in months (field N). Please provide as numeric value.
N Duration in months (use field M or N, not both) Duration of funding, at time of authorization, expressed in months. Not required if funding is expressed in years (field M). Please provide as numeric value.
O AKA/DBA/FKA Provide the alternate name used by the grantee.
P Grantee telephone General phone number for grantee. Please format as (123) 456-7890.
Q Description of grantee organization Brief description of grantee’s field/purpose or NTEE coding if available. Please refer to the alpha list of 26 major field areas used by the Foundation Center: foundationcenter.org/ntee Please separate multiple terms using a semi-colon.
R Field(s) of activity Specific subject terms or program area names used by the foundation to categorize the grant. Please refer to the alpha list of 26 major field areas used by the Foundation Center: foundationcenter.org/ntee Please separate multiple terms using a semi-colon.
S Population group(s) served Specific population groups served by grant; group may be identified by gender, age, race and ethnicity, economic status, disabilities, and other. Please separate multiple terms using a semi-colon.
T Geographic area(s) served Geographic area(s) served by the grant. If grant serves more than one geographic area, please separate different hierarchically defined areas with a semi-colon, for example: International grants - Africa, Central Africa, Angola; Africa, North Africa, Egypt Domestic grants: Michigan, Ann Arbor; Michigan, Detroit, or New York, Orange County; New York, Ulster County
U Type of support Brief description of support type. Examples include: General Operating Support, Annual Campaign, Student Aid.
V Matching or challenge support Indicate with a "Y" if this is a matching/challenge grant.
W Continuing or renewal support Indicate with a "Y" if the grant is a continuing contribution or a renewal.
X Fiscal agent If grant was made through a financial agent, indicate name.
Y Shared grant If grant was shared with one or more other grantee(s), indicate name(s).
Z Fund type For public charities and community foundations, this indicates the type of fund from which the grant was awarded, i.e. Donor Advised, Field of Interest, Scholarship, Supporting Organization, Designated or Agency Endowment.
AA Fund subtype For public charities and community foundations, this indicates if the grant was made from unrestricted, temporarily restricted, or permanently restricted funds.
AB Grantee URL Web address of organization. Please format as www.foundationcenter.org without a leading http://
